Terms of Service

Last updated: 8 October 2026 · Effective: 19 August 2026

What changed on 8 October 2026

  • Section 1 describes the whole service: hiring, People and the staff portal, as well as SCOUT and VERA, and says where SCOUT looks for people.
  • Section 7 adds employee data in People: you are its controller and insiderOne your processor, as for candidate data.
  • Section 6 says which checks can't be requested on a US role.
  • Section 9 says how plan prices are worked out and invoiced since 7 October 2026: a base plus a price per employee, in your country's currency, by Aurist Private Limited.
  • Section 14: there is no control in the product to close a workspace yet, so it says how to ask.
  • Section 3 says only the workspace owner manages the team, settings and billing, as the product does.
  • Section 6 says that until a provider is connected, a check can be requested only on your own test application.

These Terms of Service ("Terms") govern access to and use of insiderOne for Employers (the "Service"), operated by Aurist Private Limited, North Lakhimpur, Assam, India ("insiderOne"), by any organisation and its authorised users ("Employer", "Customer", "you"). By creating a workspace, accessing, or using the Service, you agree to these Terms on behalf of yourself and the organisation you represent. If you do not agree, do not use the Service.

1. The service

insiderOne for Employers, the Human Operating System, brings together:

  • Hiring: roles, applicants and the pipeline, screening interviews, interview scheduling, scorecards and offers.
  • People, on paid plans: employee records, onboarding, leave, attendance, payroll inputs and, for the UAE, the WPS salary file, performance reviews, exits and letters, policies, documents and POSH records. People prepares what your payroll provider needs; it does not run payroll, work out statutory deductions or pay anyone.
  • A staff portal under your company's name, where your employees sign in with a one-time code to see their own records and make requests.

Super Intelligence (SI) is insiderOne's name for the automated features in the product. They run on third-party AI models, currently Google's Gemini. The Service includes two AI agents built on them:

  • SCOUT, a sourcing agent that searches the sources listed in section 5 of our Privacy Policy, including insiderOne's members, your past applicants, open communities, the open web and a licensed people index where it is switched on. It shortlists people and, once you approve its plan and message, sends outreach and one follow-up on your behalf.
  • VERA, a verification agent that shows what is known about an applicant against a role's requirements, proposes ways to verify it, and helps you request, track, and interpret background checks (identity, employment, education, and other check types described in Section 6).

Certain features, including VERA, may be labelled "early access" and can change, be limited, or be withdrawn as they mature.

2. Eligibility

You may use the Service only if:

  • You are at least 18 years of age and capable of entering into a binding contract.
  • You are acting on behalf of a genuine, lawfully operating business, organisation, or recruiting agency, and you have authority to bind that organisation to these Terms.
  • Neither you nor your organisation is prohibited from using the Service under applicable law, including sanctions and export-control regimes.

3. Your workspace and team

  • Employer accounts operate as a shared company workspace. The person who creates the workspace is its owner. Only the owner can invite or remove team members, change their roles, and manage the company's settings and billing.
  • You are responsible for maintaining the confidentiality of credentials and for all activity that occurs under your workspace, including actions taken by team members you invite.
  • You must provide accurate company and role information, and keep it current.
  • Notify us immediately at contactus@insiderone.in if you suspect unauthorised access to your workspace.

4. Acceptable use

You agree not to, and not to permit any team member or agent to:

  • Use the Service to discriminate against candidates on any basis prohibited by applicable employment or anti-discrimination law, or to build sourcing, screening, or verification criteria designed to do so.
  • Post job listings or outreach that are false, misleading, or for roles that do not genuinely exist.
  • Use SCOUT or VERA outputs as the sole basis for a hiring or rejection decision without independent human review.
  • Order a background check without a lawful, permissible purpose and, where required, the candidate's valid consent.
  • Attempt to identify, contact, or take adverse action against a candidate based on data obtained outside the scope disclosed to that candidate.
  • Scrape, extract, or bulk-export candidate or platform data other than through the features we provide for that purpose.
  • Attempt to circumvent security measures, access controls, or rate limits, or reverse-engineer the Service.
  • Use the Service for any unlawful purpose or in violation of these Terms.

5. AI-generated content (SI)

SCOUT, VERA, screening interviews, readings of an applicant's links and Ask use AI language models to search, draft outreach, mark screening answers, summarise, and interpret verification results. You acknowledge that:

  • SI-generated shortlists, messages, and summaries are informational aids, not verified fact, and do not constitute legal, HR, or compliance advice.
  • Outputs may occasionally be inaccurate, incomplete, or out of date. You are responsible for reviewing SI-generated content, including outreach sent in your name, before relying on it.
  • Candidates labelled "verified" or "unverified" by SCOUT reflect the source each result came from (insiderOne's verified members, or a public or licensed source), not a guarantee of the underlying claim's accuracy.
  • We do not guarantee the accuracy, completeness, or fitness for purpose of any SI-generated content, and you remain responsible for hiring decisions made using it.

6. Verification checks (VERA)

VERA lets you request checks — currently identity, employment, education, criminal, credit history, driving record, licence/certification, and international checks — which, once a provider is connected, are performed using third-party verification data sources, not by InsiderOne itself. Until then, a check can be requested only on a test application made with your own email address, and its results are simulated, labelled as such, and must not be relied on. In connection with these checks:

  • InsiderOne is not a licensed consumer reporting agency, credit bureau, or background screening company. We provide the software that lets you request, track, and receive verification results; the underlying checks are performed by third-party providers.
  • You are solely responsible for determining that you have a lawful, permissible purpose for each check, for obtaining any consent required by applicable law before a check is run, and for how you use, store, and act on the result — including any adverse-action or right-to-respond process owed to the candidate.
  • Certain check types (criminal, credit, driving record, international, and others we may add) are flagged in-product as requiring more than plain consent — a permissible purpose, a licensed requester status, or jurisdiction-specific authorisation. You are responsible for meeting those requirements; InsiderOne surfacing the flag does not constitute legal advice or a compliance guarantee.
  • On a role in the United States, these checks can't be requested: criminal, credit history, driving record, international. US law (the FCRA) requires steps before and after such a check that the Service does not run yet.
  • VERA sends the consent request to the candidate directly and records their response. If a candidate declines or does not respond, the check will not proceed.
  • You will not use VERA to run a check on someone who is not a genuine candidate for a specific role, or for any purpose other than employment screening for that role.

7. Candidate and applicant data

For candidate personal data you upload, collect through job applications, or request be verified through VERA, you act as the data controller and InsiderOne acts as your data processor, handling that data only to provide the Service and on your instructions. For insiderOne member profile data that SCOUT surfaces to you from its own candidate network, InsiderOne is independently the controller of that member's account (as described in the insiderOne CareerOS Privacy Policy), and you become a controller of whatever data you subsequently collect, store, or act on. You are responsible for having a lawful basis to collect, use, and retain candidate data under the laws that apply to you.

The same applies to personal data about your employees that you, or they through your staff portal, put into People: you are the controller and insiderOne your processor, handling it only to provide the Service and on your instructions. You are responsible for telling your employees how you use it and for having a lawful basis to do so. Our Data Processing Agreement covers both.

8. Your content

You retain ownership of job postings, role descriptions, pipeline notes, and other content you submit. You grant InsiderOne a non-exclusive, worldwide, royalty-free licence to store, process, and display that content solely to provide the Service to you, including passing relevant portions to AI models as described in our Privacy Policy.

You represent that you own or have the rights to the content you submit, and that it does not infringe third-party rights or violate applicable law.

9. Fees and billing

The Service starts with a free trial of the length stated on our pricing page. A company with at most 1 open role and nobody in People is on the free plan and is not invoiced. Any other company pays for its plan once its trial ends.

  • The plan. A paid plan is a monthly base price that includes a number of employees, plus a price for each employee beyond those, as published on the pricing page or agreed in an order form. You choose the plan.
  • Employees billed. The larger of the people in People who have not left and the bottom of the company size you chose. You must keep your company size accurate, and we may correct an invoice where it is not.
  • SCOUT and VERA. Active SCOUT briefs and new VERA cases beyond your plan's allowance are billed at their published prices, for the month before, in arrears.
  • Enterprise. From 500 employees, the price is agreed with you and invoiced separately.

Invoices are issued monthly by Aurist Private Limited (GSTIN 18ABECA7866J1Z4), with the plan billed in advance. The currency follows your company's country: Indian rupees in India, UAE dirhams in the UAE, and US dollars elsewhere. Rupee invoices add GST at 18%. Dollar and dirham invoices are issued as an export of services under a Letter of Undertaking, without Indian GST.

A dirham invoice carries your UAE VAT registration number, and you account for UAE VAT under reverse charge; for a UAE company without one, we agree how it is invoiced before we invoice it. Fees are exclusive of taxes, and non-refundable except as required by law or as we otherwise agree in writing. We may change our fees or plans with at least 30 days' notice before they take effect for existing customers. We may suspend access for accounts with amounts significantly overdue, after reasonable notice.

10. Intellectual property

All Service content, features, designs, trademarks, and technology (excluding your content and candidate data) are the property of InsiderOne and protected by applicable intellectual property laws. You may not reproduce, distribute, or create derivative works without our prior written consent.

11. Confidentiality

Each party may access non-public information of the other (including candidate data, pricing, and product roadmap discussions) and agrees to use it only to perform its obligations under these Terms, and to protect it with at least the same care it uses for its own confidential information, but no less than reasonable care.

12. Disclaimers and limitation of liability

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. WE DO NOT WARRANT THAT SOURCING RESULTS, SI-GENERATED CONTENT, OR VERIFICATION RESULTS ARE COMPLETE, ACCURATE, OR SUITABLE FOR ANY PARTICULAR HIRING DECISION.

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, INSIDERONE SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE, INCLUDING ANY HIRING, REJECTION, OR ADVERSE-ACTION DECISION YOU MAKE.

Our total liability to you for any claim arising from these Terms or your use of the Service shall not exceed the amount you paid to InsiderOne in the 12 months preceding the claim, or INR 5,000, whichever is greater.

13. Indemnification

You agree to indemnify and hold InsiderOne harmless from any claim, liability, or expense (including reasonable legal fees) arising from: your use of the Service to make hiring or screening decisions; your failure to obtain a required consent or have a permissible purpose for a verification check; any discriminatory, unlawful, or unauthorised use of the Service by you or your team; or your content or job postings.

14. Termination

You may close your workspace at any time. There is no control for it in the product yet: the owner writes to contactus@insiderone.in, and what happens to the data is set out in section 9 of our Privacy Policy. We may suspend or terminate your access if you breach these Terms, with or without notice for material breaches. Upon termination, your right to use the Service ceases immediately; candidate and applicant data is handled per our Privacy Policy and any data processing terms agreed between us.

15. Changes to these Terms

We may update these Terms from time to time. We will notify you of material changes by email or a prominent notice in the Service. Continued use after changes take effect constitutes acceptance of the updated Terms.

16. Governing law and disputes

These Terms are governed by the laws of India. Disputes will first be raised in good faith with the other party's contact below; if unresolved within 30 days, either party may refer the dispute to arbitration under the Arbitration and Conciliation Act, 1996, seated in New Delhi, India, with proceedings conducted in English by a sole arbitrator. Nothing here prevents either party from seeking injunctive relief in the courts of New Delhi, India for misuse of confidential information or intellectual property.

17. Grievance Officer

Under the Information Technology Act, 2000 and the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021, complaints about the platform, its content or how your data is handled can be sent to our Grievance Officer:

Bishnu Dev Changkakoti, Founder and Chief Executive Officer
Email: contactus@insiderone.in (please put "Grievance" in the subject)

We acknowledge a complaint within 24 hours and resolve it within 15 days of receiving it. Tell us who you are, what the complaint is about, and where on the platform it happened, so we can act on it.
