The record

Onboarding

One checklist per joiner, split between HR, their manager, IT and the joiner, who ticks their own steps in the portal. Move the joining date and the steps move with it.

Probation

Probation ends show up before they arrive. Confirm or extend it, and draft the confirmation letter from the record.

Everyone in one list, and the shape of the company beside it.

Directory

Who everyone is, what they do, who they report to, and whether they're joining, active, on notice or gone. A filtered view is a link you can keep or send.

Org chart

Drawn from each person's manager. Set a manager on a record, or in the import, and the chart follows.

Insights

Headcount, joiners and leavers, attrition, tenure, why people leave, and which hiring channels bring people who stay. Every rate says what it divides by.

Bring your team in

Save the list you already keep as a CSV and upload it. Headers like DOJ and Designation are read, and every row is checked in plain words before anything is saved.

Leave and holidays

Your leave rules, worked out the same way every time.

Staff ask in your portal. Their manager decides, or HR, or the manager first and HR to finish, as you choose.

Your leave types

Days given for the year or earned each month, carry-forward limits, half days, encashment, and who each type is for. Start from a common Indian or US set and change it to your policy.

Holidays by office

Each office has its own country, time zone and holidays. Optional holidays are taken as leave.

Balances that add up

A balance is what someone is owed less what's been approved, so it can't drift. Comp-offs and corrections go on their record.

Attendance and breaks

Check-in and breaks from the portal. Nothing watches anyone.

Staff check in, take breaks and check out in your portal, on the server's clock and in their own time zone.

Fixes, asked for

Forgot to end a break? They ask for a fix, within limits you set, and a person approves it. Every change leaves a line on their record saying who changed what.

Nudges, not monitoring

A break running long, or yesterday with no check-out, gets a note in their portal. No screen monitoring, no location tracking, and nothing asks for a fingerprint.

Choose whether a day with no check-in counts as unpaid on the payroll inputs.

The month, ready for your CA. Payroll itself stays with them.

People works out the inputs. It doesn't run payroll: no payslips, PF, ESI, professional tax or TDS.

Each month, per person

Days on payroll, unpaid days and why, paid days and pro-rated fixed pay, with joiners and leavers flagged. Add bonuses, incentives, arrears, reimbursements and recoveries.

Your CA's format

The calendar month or a cut-off like the 26th to the 25th, how a part month is paid, and the columns. Download it as a CSV and mark it sent; later changes are listed.

Bank details, checked

Staff enter their PAN, bank account and UAN in the portal. A changed account stays out of the export until HR confirms it with them.

UAE teams

The WPS salary file, and gratuity for leavers.

The salary file for your bank, built from the month's inputs and HR-confirmed IBANs, routing codes and MOHRE numbers. Anyone who can't go in is named, with the reason.

  • If leave or attendance can't be read, the file isn't built, so no unpaid day goes missing.
  • Gratuity is worked out on basic pay alone, with each step of the law's rule shown. It's an input for your payroll provider, not a settlement.

HR runs review cycles with its own questions. Staff keep goals and write a self-review in the portal, managers write theirs, and HR shares the result when ready. No SI writes, suggests or scores a review.

Policies

Publish the text or a link. Each person acknowledges it in the portal; change it and you can ask everyone again. See who hasn't read it, and remind them.

Documents

Ask for a degree certificate or a last relieving letter. They upload a PDF or a photo up to 10 MB, and HR accepts it or asks again. File letters on the record and share them.

POSH, in India

From 10 employees: your Internal Committee checked against the Act's rules, terms falling due, and the annual report. Counts only: no complaint is kept here.

The staff portal

Your company's own staff portal, with your logo, name and colour.

It has its own address, like /w/your-company. Staff sign in with a code sent to the email address HR has on file. Nobody signs up: your record of them is what lets them in.

The team desk

Owner and HR admins

People records carry pay, so only the owner and HR admins open them. Recruiters, hiring managers and interviewers don't.

Each person

Sees their own record. The bank details they enter are shown back masked.

Never kept

No Aadhaar numbers or cards, and no Social Security numbers, I-9s or W-4s. A field of your own can't be made for one.
